IT Asset Handovers Were a
Paperwork Nightmare

An enterprise IT department managing asset handovers for employees across multiple locations — laptops, phones, peripherals — relied entirely on manual paper forms and email chains. Every new hire or asset transfer triggered a slow, error-prone cycle with no visibility and no central record.

The IT team spent hours each week generating documents, chasing signatures, and manually filing paperwork — time that could be invested in actual IT work. With no system of record, signed agreements were buried in email inboxes and impossible to audit.

Manual document creation — agreements generated by hand in Word/Excel, prone to formatting errors and missing data for every handover

Physical signature bottleneck — employees had to print, sign, scan, and email documents back, causing delays across locations

Zero visibility for IT team — no way to see which agreements were signed, pending, or overdue at any given time

Scattered records — signed copies lived in individual email inboxes, not the system of record, making audits impossible

Onboarding delays — asset sign-off was a consistent bottleneck that held up new employee onboarding across departments

A Three-Part Salesforce Module
Built with LWC + Adobe Sign

We built an end-to-end automation module entirely within Salesforce, connecting LWC, Visualforce, and Adobe Sign into a seamless workflow.

Step 01

Quick Action & Asset Selection

A single button on the employee record opens a Lightning modal auto-populated with all assets assigned to that employee. IT staff select specific assets — no manual data entry required.

Built with LWC + Quick Action — modal fetches related assets via Apex controller

Step 02

Automated PDF Generation

On confirmation, a formatted PDF is auto-generated from a Visualforce page — pre-filled with employee name, ID, selected assets, and download date. Named automatically and downloaded instantly.

Generated via Visualforce PDF renderer — named EmpName_ID_Date.pdf automatically

Step 03

Adobe E-Sign Integration

The generated PDF is sent directly to the employee via Adobe Sign for e-signature. Once signed, the completed agreement is uploaded back into Salesforce against the employee record.

Integrated via Adobe Sign API — signed copy stored in Salesforce Files (ContentVersion)

End-to-End Flow — Fully Automated

From a single button click to a signed agreement stored in Salesforce — the entire process runs automatically.
